Business Across Airwaves

August 2012

No matter what industry you’re engaged in, technology has become part and parcel of the way you conduct business. In corporate offices around the globe, and even smaller businesses in and around the city, teleconferences and videoconferences over complex systems or even through your smart phone’s apps has made getting in touch even easier. Person to person meetings are no longer a necessity, and people with busy schedules and full-to-the-brim calendars can squeeze in important conferences at the touch of a button.

Despite the fact that conducting business face to face is no longer a necessity, the same rules of etiquette apply whether you’re meeting over Skype or over coffee. Keep these tips in mind and give your business relationships the care and civility they deserve.

Dress for the camera.
It may be tempting to stay in your pajamas all day if you’re working from home, but a videoconference necessitates you to dress up the same way you would if you were to attend the meeting in person. Pick a spot with good lighting and at the very least, suit up with a good shirt and a jacket. You’ll find that dressing the part not only makes you look professional, but will also give you the extra oomph you need to deal with the matters at hand.

Require nametags.
While most videoconferencing programs will identify the users involved with tags on their windows, meeting with a group of strangers can be disconcerting when no one is familiar with anyone’s name. If you are holding the meeting, require attendees to wear nametags on their lapels to make conversing smoother and easier. If you aren’t running the show, make a polite suggestion to the point person beforehand.

Address the person you’re talking to by name.
When talking over the phone or even over FaceTime with a group of people, address who you are talking to specifically by name in order to avoid any confusion. This can save you from a long string of business troubles, and gives people the go signal for when it’s appropriate for them to answer a question or comment on an issue that’s being tackled.

Turn off extraneous devices.
Mobile phones going off and even landlines ringing can be distracting enough at a real time, face to face meeting. These noises can be a nuisance when conducting meetings over the phone or online as well, as conferences require utmost silence in order for everyone to hear each other and get their points across clearly.
